Participate in the Early-Adopters Program
Newman University is now starting to switch its  student email and calendar systems from Microsoft Outlook to Google Apps. With Google Apps, you'll gain the benefits of 100% web-based messaging and collaboration tools, easier access to your files and email from all of your devices, and 25 GB of storage. That's over 400 times the storage we can currently provide!

You can take part in an “early adopter” program for Google Apps Mail and Calendar. Our helpdesk staff is currently in the process of organizing information in order to provide assistance with Gmail. We understand, however, that many of you are already familiar with Gmail and/or Google Apps and will not need helpdesk assistance. We are, therefore, giving you the opportunity to request to be among the first students to have your account migrated to Gmail.  If you are familiar with Gmail and are confident you will not need helpdesk assistance, you may request to have your account migrated prior to our full-scale migration scheduled later this month. If selected, we'd like you to use the services and provide us with feedback before we deploy these services to all students. If you are interested, please continue to read the details that follow.


What We're Migrating

We're migrating your Outlook data as follows:

  • Messages in your Outlook Inbox (including subfolders) and Sent folder  ==>  Google Mail
  • Scheduled events in your Outlook Calendar  ==>  Google Calendar
  • Personal contacts in your Outlook Contacts ==> Personal contacts in Google Mail


What Will Happen

When your account is scheduled for migration, we will notify you via your Outlook email to let you know when your account migration will occur. When the migration begins, we'll turn off your Outlook account and turn on your new Google Apps account. You will not be able to log into Outlook after the migration occurs. Depending on the number of accounts being migrated and the volume of messages within each account, the process should take only a few hours. To minimize any inconvenience to you, we will try to process accounts during the overnight hours.

After the migration has completed, you will navigate to http://jetmail.newmanu.edu and log in to your Gmail account. Your username and email address will be exactly the same as before. Your password, however, will be reset. The format for your password will be MMDD+Last4SSN where MMDD is the two digit month and two digit day of your birthdate. Last4SSN will be the last 4 digits of your Social Security Number. For example, if your birthday is February 8,  and your SSN is 555-55-8374, your password will be set to 02088374. If you don’t have a SSN, we will use the last 4 digits of your StudentID. Note: Any existing Blackboard, network or Jetstream usernames and passwords will not be changed.


FAQs

Can I receive email during the migration?
Yes, you'll continue to receive new email messages during and after your account has been migrated. However, these messages will appear only in your Google Apps account.

Will I still be able to access my Outlook account after the switchover?
No. Your Outlook mailbox will actually be detached from your account. Any attempt to log into Outlook will result in an error.

Will my Blackboard, Jetstream or network account credentials change after the migration?
No. The only changes will be to your Outlook account and your new Jetmail account. Your Outlook access will be removed and you will receive a new Jetmail account where you will receive all of your Newman email.

Will I be able to communicate with students, faculty and staff who are still using Outlook after I switch over?
Yes, you can continue to send and receive email with others as usual.

Can I access my Google Apps account now?
No, you can't access your account until after your existing Outlook account has been migrated.

Will you help me set up and use my Google Apps account?
As an early adopter, there will be no formal helpdesk assistance available. However, to help you get started with your new Google Apps account, we are providing you with documentation that contains instructions for accessing your account, setting up your new services and mobile device, and using the services. You can access these resources at the Academic Technology website (http://acadtech.newmanu.edu). Here you will find content specific to Newman University and links to general self-help information provided by Google. At the bottom of the Home page you will also find a link to a Google group whereby you can submit questions.

What if I can’t access my Gmail at all?
In the event you can’t successfully access your Gmail account after your Outlook account has been decommissioned, you may email migrationhelp@newmanu.edu for assistance with your username and password.

To sign up for the “early-adopters” program fill out the following form. You must supply valid and complete information or your request cannot be completed. Remember, there will be no formal helpdesk support available for early adopters. When filling out the form, you will need the Verification Token provided in the email that brought you to this page. This token will be used to verify that you are the person submitting the form. NOTE: If you happen to receive duplicate emails for the program, you only need to respond one time -- preferably using the Verification Token included on the last email you received.
